Overview

In many companies the same order is typed two or three times: in the shop, then in the accounting program, then in a follow-up file. Website enquiries land in a mailbox that the CRM never sees. Every extra manual entry means a delay, a chance of error, and figures that no longer match.

A good integration is not just a cable. It is a set of rules: what moves, in which direction, when, which system is the reference for each field, what happens when a field changes on both sides, and what we do when one system is down. We build integrations on the REST APIs of the systems you own, and where needed we develop an API for your own system. We add retries, logs and alerts so nothing fails silently.

For payment gateways we always work on your own gateway account with your own keys. We start in the test environment, go live only after a written test, and never hold keys or card data. Every integration is delivered with one page of documentation and a test report.

How the work runs

Five steps. At each one there is something for you to review or approve before we move on.

    A call to define the integration scope

    A free call identifies the two systems, data and sync direction. A simple integration proceeds directly to a written offer. Enterprise integrations, payment-gateway connections and sensitive data begin with a paid diagnostic before implementation is priced.

    Your part: You confirm data sources and permissions and review the scope. If assessment is needed, you read its price and deliverables before agreeing.

    Offer and integration map

    We write the offer with the integration map, the conflict rules and acceptance criteria for each phase, and agree the test environment.

    Your part: You approve the scope and rules in writing, open temporary access in your own accounts, and pay the first instalment (40%).

    Build and preview

    We build the integration in a test environment with sample data and show it running from end to end.

    Your part: You see a record move between the two systems and review the first report. The second instalment (30%) is paid when it is previewed.

    Testing and acceptance

    We test every path with a success case and a failure case, match a sample of records by hand, and for payment gateways test in the sandbox first and write down the result before going live.

    Your part: You review the test report and accept the delivery in writing. The final instalment (30%) is paid after that.

    Handover and support

    After the last payment we hand over the documentation, keys and accounts in your name, and we leave the temporary access. We fix defects free for 14 days, and an optional monthly monitoring and maintenance plan is available.

    Your part: You decide whether to add another integration. Each new one gets a written offer.

What we need from you

  • Administrator access or API keys for each system, opened by you in your name and remaining yours.
  • A person responsible for each system who answers our questions and confirms test results.
  • A sample of real or anonymised records, and a clear rule: when the two systems disagree, which one wins?
  • A test environment or a safe way to try things without affecting daily work.
  • For payment gateways: your own gateway account and its test credentials, and who decides on going live.

Questions about this service

Which systems can you connect?

A system that provides an API, export and import, or suitable database access. We verify the connection method when defining scope, or during assessment for complex work. If a system does not allow integration, we explain that and the available options in writing.

What happens if an integration fails?

We add retries for temporary failures, a log showing what ran and what failed, and an alert when failures repeat, so nothing fails silently. We fix defects in what we delivered free for 14 days after handover.

Do you handle payment-gateway integration?

Yes, on the conditions for large work: a paid diagnostic first, a written scope, work on your own gateway account with your own keys, a start in the test environment, and no go-live before a written test. We never hold keys or card data, and the liability cap is set in the contract at the amount of the fees.

Who owns the integration and the accounts?

You do. The integration runs in your accounts, the files and documentation are handed over, and we work with temporary access that we leave after handover. Hosting, licences and external services are priced separately and opened in your name.

How do you avoid duplicated or corrupted data?

We agree matching and conflict rules in advance, try the integration on sample data and then on a copy, and match a sample of records by hand between the two systems before real use. Before any large data move we take a backup.

How are fees paid?

In three instalments tied to the work: 40% at the start, 30% when a working version is previewed, and 30% on acceptance and approval. Final files are handed over after the last payment, and we never ask for the whole fee upfront.
