How we work, from the first call to handover

Start with a free call, then follow the path that fits your scope. Simple services go directly to a written offer; the paid diagnostic is a step for complex projects.

Clear stages for your project scope

We describe the steps as they actually run. Amounts are on the Pricing page, and for every project the signed agreement prevails over this summary.

  1. 1

    A free introductory call

    What we do
We listen to your business, to the tools you use today and to what you want to change. We tell you plainly if what you ask for is outside our scope, or if you do not need a project at all.
    What you see or decide
You receive a short written summary and learn whether the next step is a direct offer or assessment for a complex project.
    Cost
    Free
  2. 2

Complex projects only: a 5-working-day diagnostic

    What we do
Simple services skip this step. For complex work we agree the price and deliverables first, then review processes, data and tools and prepare an illustrative deliverable suited to the project.
    What you see or decide
You receive a 5–8 page report, 3 priorities ranked by impact, and a fixed offer for implementation. You are not obliged to continue with us afterwards.
    Cost
Paid in full before it starts, and credited in full if the project starts within 30 days of delivery of the diagnostic report.
  3. 3

    A written fixed-price offer

    What we do
The offer states the scope, the deliverables, the phases and their dates, the written acceptance criterion for each phase, the separate costs such as hosting and licences, and what falls outside the scope.
    What you see or decide
You read the offer, discuss it and approve it in writing. After approval, the first payment is made.
    Cost
    First payment: 40%
  4. 4

    Building in phases, with previews

    What we do
We carry out one phase after another according to the agreed plan, and show you a working version that you try yourself. We do not move to a new phase except according to the plan.
    What you see or decide
You try the version and send your comments. Comments needed to meet the acceptance criteria are inside the scope.
    Cost
Second payment: 30%, when the working version is shown
  5. 5

    Testing and written acceptance

    What we do
We test the work before final handover and write down the test results.
    What you see or decide
You compare the results with the acceptance criteria and confirm acceptance in writing. If the work does not meet the criteria, we correct it and present it again.
    Cost
Last payment: 30%, on acceptance and approval
  6. 6

    Handover

    What we do
After the last payment we hand over the final files and the documentation, and explain how to use everything in a handover session. The accounts are opened in your name, and we leave them.
    What you see or decide
Everything delivered is yours, and you confirm that you can sign in to your accounts.
    Cost
    Nothing further
  7. 7

    Support after delivery

    What we do
We fix any defect in what we delivered, free of charge, for 14 days from handover. After that an optional monthly maintenance plan is available. New features are priced before we start.
    What you see or decide
You decide whether you need the monthly plan.
    Cost
14 days free, then an optional monthly plan

What you see before each payment

We never ask for the full project fee upfront. The fee is split into three payments, and each is preceded by evidence you can check yourself.

What you see before each payment
PaymentThe evidence you hold
40%On approving the written offerAn offer with written scope, acceptance criteria and a phase schedule.
30%When a working version is shownA version that works, which you try yourself.
30%On acceptance and approvalThe test results and the acceptance criteria you confirmed in writing.

Final files are handed over after the last payment. This is the implementation schedule; the paid diagnostic has the terms described above.

Who does what

A project works when each side knows its part before it begins.

What we take on

  • Writing the scope and acceptance criteria before we start
  • Carrying out the work and showing previews on schedule
  • Testing the work and writing down the results
  • Documentation and a handover session
  • Naming a person accountable for each delivery

What we need from you

  • One person who holds the acceptance decision
  • Your comments on each preview within the time agreed in the offer
  • Temporary access to the tools and accounts we must work on
  • Your texts, data and files in the agreed format
  • Opening the external accounts in your name, such as hosting, domain and licences

How changes are handled

The written scope is the reference. A new need may appear during the work, which is normal, and this is how we handle it:

  1. 1

    We describe the request

We write down exactly what is asked and what will change because of it.

  2. 2

    We price it

We state its price and, if there is one, its effect on the dates.

  3. 3

    You decide

We start only after you agree in writing. If you decline, the original scope stays as it is.

  4. 4

    We write its criterion

We add a written acceptance criterion for it before we carry it out, so both sides know when it counts as done.

How we communicate

Channels
We communicate by WhatsApp and e-mail, and hold meetings by call or video.
Hours
We are based in Egypt and work Gulf business hours by agreement. At the start we agree the hours for meetings.
Reports
After each phase you receive a written message on what was done and what comes next.
Language
In Arabic or English. The offer and the agreement are written in one language, which you choose.

What we do not do

We say this upfront because it protects you from wrong expectations.

  • We do not guarantee sales or profit results. We commit to the deliverables, their quality and their written dates.
  • We do not ask for the full project fee upfront.
  • We do not handle company formation, commercial licences or legal procedures, and we do not give legal or tax advice.
  • We do not process payments ourselves, and we do not hold payment-gateway keys or card data.
  • We do not resell hosting. Accounts are opened in your name.
  • We do not start large work, such as ERP, before a paid diagnostic and a written scope.
